How warehouse PDAs connect to inventory

PDAs and guns should join the stock book along receive, putaway, pick, check and ship—not sit as scanners. Missed scans, wrong locations and offline catch-up that will not match keep books away from stock.

The warehouse bought PDAs; Excel still reconciles at night. Usual cause: the scan never entered a stock transaction. Receive scanned, putaway never bound a location; pick scanned, ship never deducted; count scanned, variance never opened a ticket. Hardware is lit; the book is still in someone’s head. Joining inventory means a pipe you must finish.

Warehouse scan work needs to join a stock pipe
In Arrival scan against PO or appointment. Over/short is a variance on the spot.
Put Location code + item code, or stock has no coordinate. Do not scan goods without a location.
Pick Issued by wave or ticket. A wrong location blocks now—not at check.
Check Outbound check and carrier. A carton photo can stay. Variance opens a ticket, not a verbal.
Ship Deduct and the ship doc are one transaction. Fail can retry; it cannot deduct twice.
Book On-hand, in-transit and variance live in one back office. Count only fills gaps.
Scanner only
Barcodes into a notepad or WeChat. Offline stops work. Wrong docs wait for a sheet. People and devices keep two books.
As a work entry
Each step changes stock state. Weak net queues; catch-up is idempotent. The crew finishes the job on the PDA.

Bind document, goods and location first; fancy hardware later

You can name the gun brand; software must turn one scan into a stock transaction. Without wave and location master data, an industrial PDA is only a tougher scanner. Phase one: run one main SKU from receive to ship, then drop parallel paper or Excel. How hookup changes exception handling: With devices in the business vs. without.

Lot, serial and multi-code items should map to an internal SKU at receive. Translate at ship and wrong-ship becomes a stable accident. Count should not open another Excel: PDA variance opens an adjust ticket; the book changes after approve, so the floor cannot wipe numbers. Weak-net warehouses queue “scanned, not acked” and submit idempotently on restore so one carton does not deduct twice.

Rights follow the role. A voided wave must reach the gun

Rights by role: receive cannot change safety stock; count variance cannot wipe the book; hardware logins are not shared. After a wave issues, a changed doc must void on the PDA—picking a canceled line is a frequent wrong-ship. If you only have access and no warehouse work, do not expect gate data to replace inventory: Access control and attendance only.
