Device patrols: from paper checklists to a closed loop

Paper patrols stop at a tick. A closed loop needs scan-on-site, a photo trail, a ticket on a miss, and write-back. Walk the floor—do not call a sheet on a phone digital.

A sheet filled in the office while nobody reached the asset is what paper patrols become at scale. The risk is not only slack work. After an incident you cannot prove who was there or what the asset looked like. A closed loop splits “did they arrive” and “what happens after a find” into steps you can scan.

Scan on arrival

Put the code on the asset, not the corridor. A scan is arrival; no remote checkmarks. Weak network stores locally, then catches up.

Confirm by item

Lube, heat, guards, leaks: items differ by asset type. An exception must take a photo. “Normal” alone is not enough.

Missed checks and timeouts

Unscanned at shift end opens a ticket to the lead. A missed-point route is more useful than a fake 100% complete sheet.

Defects enter maintenance

The same exception opens a maintenance ticket; write-back closes the patrol. Find and fix no longer live in two books.

Protect must-arrive points first; smart sensors later

Not every asset needs a sensor for a loop. Fire, special equipment and critical pumps: get scan-to-arrive and missed checks running before plant-wide vibration analytics. If a sensor can collect it, do not let people invent a number. If only an eye can see it, do not pretend IoT replaced the walk. After both meet, you drop one fighting ledger.

The trap of an e-sheet is moving paper ticks onto a phone so someone still finishes the route in the break room. The loop must lock arrival: QR or NFC on the body, items open only after a scan; critical items force a photo with time and point watermarks. GPS is unreliable indoors—do not use it as arrival. Contractor patrols join org rights; they cannot hand over the day the contract ends.

Stick codes where they cannot be removed; run paper in parallel two weeks

Oil-covered codes or codes on a removable guard break arrival. Keep a spare code and a point photo. Do not stop paper on day one of trial; run two weeks against the miss list, then drop paper so safety is not in a vacuum. If a watermark can be swapped from the gallery, the trail is fake—use the in-app camera; ban picking a “normal” photo from the album.
