Legal and compliance systems are files and deadlines first, “matter management” second. Who may view, who may download, whether outbound send is logged—rights go to the document. Limitation, evidence clocks, annual reports, license renewals—countdown reminders must be reliable; missing one is not a UX issue. We file by matter: parties, representation, document list, tasks, deadlines, fees. Conflict search runs at intake, not halfway when the other side is an old client. Logs are non-repudiable; view and export trail.

Time and billing

Time and fees vary by firm but must match work records. Fixed, staged, hourly—bills attach a work description. When a client chases progress, the lawyer opening the same matter sees latest documents and the next deadline—not WeChat. Knowledge base and templates can wait; files and deadlines must be stable first.

Cross-office boundaries

Cross-office work and outside counsel must not walk documents off the boundary. External, intern, or client collab with download and no watermark or expiry loses control. We give preview or time-limited links by role and recover rights when the matter closes. E-sign and court or regulator service receipts enter the file when they can, so a receipt is not in someone’s inbox.

Conflict search

Conflicts cover affiliates and historical counterparties; the rule runs at intake, not the handling lawyer’s memory. Court dates and regulator replies notify both the lawyer and the assistant so one person’s leave does not hide a deadline from the firm. Client collab downloads expire and watermark. Paper files and the electronic list must match location so retrieval is not a cabinet hunt.

Go-live migrates active matters’ lists and key deadlines—not a one-shot scan of all historical paper. Training is handling lawyers and assistants.
