Owners and trades

A property system’s real users are owners and trades, not the project manager. A three-step repair form, an unreadable bill, a notice nobody can find—satisfaction does not rise because the back office grew a patrol module. We stand up the unit file, owner identity, charge items, and tickets first. A repair can attach photos, pick a location, and show progress; dispatch follows trade and roster with timeout escalate; complete needs owner or concierge confirm, with materials and labor explained. Billing is by unit and charge item; prepay, arrears, and late-fee rules live in the system; online and offline pay enter one ledger, reconciling for finance—not for the service desk to perform.

Fit-out and passes

Fit-out applications, goods passes, visitors, and parking, if in scope, bind to unit rights; tenant and owner rights differ. Multi-project groups also need HQ ticket clocks and collection rates, while a project can still change notices and dispatch—rights look like a retail chain, with owners as the customer.

Ticket clocks

Many projects launch patrol first; owners feel an unanswered repair. We run repairs and billing first; patrol and quality checks follow management need. Equipment files (lifts, pumps) hang maintenance and repair history so repeats are visible. Notices target a building so the whole project is not SMS-blasted.

Resident rights

Tenant, owner, and family rights differ; repair and pay cannot share one account. Vacant units, parking, and basement charges bill with the unit so owners can read them. Fit-out material passes and waste haul are separate ticket types. Repeat repairs hang on the equipment file so lift and pump maintenance sees the old problem. Notices target a building instead of blasting the project.

One project’s bills

Go-live picks one project, migrates units and current bills, and runs repairs in parallel a week. Training is the service center and trade leads. A property system that works lets owners see where a ticket is and how a charge is computed, puts the same ticket in the trade’s pocket as in the system, and lets finance match collections.
