Insurance

Insurance systems are squeezed by documents and turnaround: one missing item blocks issuance, one missing claim document blocks closure. Turn the required-document list into a workflow instead of something people remember.

How we see this industry

Application and documents

Insurance systems are stressed by documents and clocks: a missing requirement blocks issue, a missing claim file blocks close, and lists that live in an AE’s memory leak. We make product, application, underwriting, issue, alteration, and claim a state machine, with required files, clocks, and owners on the path. Customers see what is missing and where to upload; ops see whether the hold is underwriting or imaging. Clocks count down; overruns need a reason instead of sitting silently in a queue.

Alteration and claims

Alteration (data change, add cover, surrender) and claims produce disputes most easily; rules must be configurable and auditable. Amount thresholds trigger investigation or dual control. Payee account, invoice, and images travel with the case, not a mailbox. Channel issue and direct sales as two customer files lose people at alteration; the customer master unifies early.

Images and requirements

Blurry photos, expired IDs, and wrong invoice titles are the usual bounce. Basic checks at submit, structured bounce reasons, and a resubmit on the original case—not a new case. Connections to a carrier core or an adjuster write state back on time so internal and external progress do not diverge and the customer does not call both sides.

Investigation and advances

Follow-up, investigation, adjusting, and advances change by line; clocks must be configurable. Unclear beneficiary, insured, and policyholder relations stall issue and claim. Channel commission and persistency, if in scope, bind to policy state; commission clawback after surrender has a rule. Expired IDs and blurry images stop at submit so ops do not bounce the same case twice.

One line first

Go-live walks one line or one channel through full issue and a few claims, then more products. Training is ops and AEs. An insurance system that works makes the requirement list obvious, clocks have an owner, close files archive by case number, and a complaint can produce what was received and what was returned.

Typical scenarios

Application and issuance

Required documents are configured per product, submission is blocked until complete, and scans are filed online.

Claims and status

Notification, assessment, documents, and closure each carry timestamps, and customers can check status.

Renewal and follow-up

Reminders go out in batches before expiry, with follow-up results recorded against the customer to gauge renewal intent.

Common blockers and how we handle them

Blocker

Missing documents cause back-and-forth and a poor customer experience

How we handle it

Document lists are maintained per product, gaps are flagged immediately, and additions continue under the same case.

Blocker

Nobody can say which step a claim is stuck at, so customers keep chasing

How we handle it

Milestone status and owners are visible, with automatic reminders and escalation when overdue.

Blocker

Customer information sits with individuals and renewals depend on personal memory

How we handle it

Customer records are centralised, with policies, claims, and follow-ups in one view.

Policy management

Policy register, endorsements, renewal reminders.

Claims

Notification, assessment, documents, closure, turnaround.

Delivery gates

  1. Scope

List application, underwriting, issue, alteration, and claim requirements and clocks for one line. Write channel and product scope for this phase.

  2. Architecture

Fix the case state machine, image archive, and amount dual-control thresholds. Confirm state write-back with a carrier core or payments.

  3. Build & integrate

Connect issue and claim resubmit on real cases. Clock reminders, structured bounce reasons, and archive-by-case are acceptance items.

  4. Launch & operate

Walk full issue and several claims, then expand products. Train ops and AEs; customers see missing files. Iterate next on alteration rules.
