What used to be a spoken yes now needs twenty boxes, six Next clicks, and three managers opening a PC. When people say the system is slow, they often mean the path is long, not the server. Count clicks before you add modules.
Finance, HR, and legal dump every question on one form. Default what you can; do not block submit on what can be filled later. Packaged OA often opens every generic field; why it stays unused: see A packaged OA nobody uses is almost as bad as having none.
Even leave needs four countersigns. If amount and department can route, do not make everyone touch it. How work changes once you can chase: see How work changes when approvals can be chased and tracked.
Managers only see the group on a phone; the system only approves on a PC. To-dos must open in WeCom or on a phone, or they fall back to chat; see Is WeCom enough, or do you still need your own back office?.
Fill the system, then print, sign, and post to the group. Doing both is always slower. The same root shows up when nobody opens the system; see If nobody opens the system after launch, was it worth building?.
If people cannot find their own ticket, every visit starts from zero. To-dos, chase, and search by ticket number belong on the home page.
Pick an expense or seal that happened this week. Have the person walk it in front of the admin and time each step. Stuck at login, required fields, attachment format, or the next approver need different fixes. Mixing them and adding an “AI assistant” will not cut clicks.
Another “slow” is waiting. The form takes two minutes; the manager does not click for three days. That is not too many clicks—chase and handoff were never written as rules. If to-dos never reach a phone and mail lands in spam, the path looks like a stuck system. Hard-coding timeout hours, a deputy, and handoff saves “slow” more than dropping two fields.
Growing companies especially turn phase one into a company-wide flowchart. Which flows first: see Growing companies: which approvals to ship first. DaXi acceptance looks at whether open-to-submit finishes inside the role’s time limit—not how full the menu is. To diagnose the live system together, go to the Management systems service page and describe the slowest flow. Visible efficiency is one fewer chase and one fewer spreadsheet match; see Visible efficiency a management system can deliver.
Bring field screenshots and the real node count. That reaches a changeable plan faster than “the system is stuck.”
