The system made work slower: how to diagnose it

Slower is usually not bandwidth. It is too many fields, too long a node chain, a form that will not open on a phone, or a dual-run. Diagnose by clicks before you add features.

What used to be a spoken yes now needs twenty boxes, six Next clicks, and three managers opening a PC. When people say the system is slow, they often mean the path is long, not the server. Count clicks before you add modules.

Walk one real ticket before the optimization meeting

Pick an expense or seal that happened this week. Have the person walk it in front of the admin and time each step. Stuck at login, required fields, attachment format, or the next approver need different fixes. Mixing them and adding an “AI assistant” will not cut clicks.

Another “slow” is waiting. The form takes two minutes; the manager does not click for three days. That is not too many clicks—chase and handoff were never written as rules. If to-dos never reach a phone and mail lands in spam, the path looks like a stuck system. Hard-coding timeout hours, a deputy, and handoff saves “slow” more than dropping two fields.
