Sales
Creates the draft, legal entity, and commercial terms. Cannot change locked invoice data or delivery scope. Every version change keeps a reason—no extra desktop copy.
Delivery
Confirms scope, milestones, and acceptance rules. Cannot see unrelated pipeline, but can reject “the extra bit we agreed verbally.” Once scope locks, a sales price change cannot quietly change delivery.
Finance
Amount, tax, invoicing, and collection plan. Validates entity and amount before a seal. Renewals and collection chase the same ledger; see Once contracts live in one ledger, renewals and seals are not tribal knowledge.
One ledger, three permission lanes, one seal gate
The email risk is that nobody can find the current effective version; see The risk when contracts and policies live in email. Permissions follow the role, not “who joined the contract group”; see How clear permissions cut disputes and leaks. If group subsidiaries also isolate legal entities, add data scope above the lanes; see Group and subsidiaries: isolate permissions, still report up. When reconciling, ask “which column is source of truth.” If the answer is more than one, the back office is not split yet.
Seals have one gate: no ticket number, no stamp. If sales needs a price change, open a change ticket—do not ping finance in the group to “invoice first.” If delivery sees scope change, they reject on the same contract, not a side “implementation copy.” Three departments see different fields on one record, not a negotiation among three files.
