WeChat group management vs. a system: which one leaves a trail

Groups explode fast and cannot be searched. A back office can chase, export, and hand over. Groups are for notices; tickets and permissions must live in the system to leave a trail.

A “OK” in the admin group looks faster than opening OA. It holds for a week. It fails on an audit sample and the day a manager leaves. Whether a channel is handy and whether the trail stays with the company are two different ledgers.

Attachments bind to the ticket number and do not scroll away

Group messages flow by time, not by ticket number. “Who nodded on that seal?” means scrolling by feel. Someone leaves the group or loses a phone, and the agreement is gone. What happens when every approval lives in WeChat: see What happens when every approval lives in WeChat. Audit wants an exportable detail list; see What role OA plays in audit and compliance.

Permission in a group means “who is in the group.” People who can approve money sit with people who should only see notices; prices and salary leak. The right use is not banning groups; it is demoting them to reminders

The group only drops ticket numbers and exceptions. Leave changes, amount changes, and seals run on tickets. WeCom can push to-dos to the phone; what opens is still the back-office ticket; see Is WeCom enough, or do you still need your own back office?. The day someone leaves makes the difference obvious: the group remains, the context sits on a personal account; the system leaves to-dos and permissions on the role, so a new manager can continue in week one. Handover without a gap: see How to-dos and permissions survive when a manager leaves.

When DaXi delivers, we write “the group no longer takes formal approvals.” To close on your group rules, go to the Management systems service page and describe the current state. The path difference with versus without a back office: see With vs. without a management back office: how decisions actually move. Groups are good for warmth and a nudge, not as the only evidence for a company seal or an amount.

Demote the group from work entry to reminder channel

Say which decisions happen in the group today. Engineering will set phase-one approvals so tickets leave a trail.
