For many wholesale and installation companies the real work entry is not software. It is the “WH coordination group.” A customer drops a screenshot, sales replies “ok,” the warehouse replies “tonight.” The speed is real. So is the risk: no document can prove the qty, price, or consignee that was agreed at that moment.
Risk one: the agreement cannot be searched, and cannot be audited
Group messages flow by time, not by order number. To check “did that order change address” you scroll by feel. More groups, more people, and you cannot even scroll to it. Customer reconciliation and an internal audit want an exportable detail and an approval trail — not “same price as last time” wedged between stickers. Risk two: permission equals “who is in the group”
The person who can change price, the person who can release outbound, and the person who may only see logistics sit on the same layer. Once a customer, a driver, or a temp is pulled into the coordination group, price and stock are exposed. Sales and finance should look at the same contract; the group lets everyone crop a different slice of chat as “the contract” — see Sales and finance looking at the same customers and contracts. Someone leaves; history stays on other phones. Someone forwards the group; a copy of the work walks out. A confidentiality lecture will not fix that. The work entry picked the wrong container.
Risk three: shipping and cash will not match — the fight starts in the group
A group “ok” is not a stock lock. The warehouse ships by feel, sales thinks it is not confirmed, finance invoices another qty. From order to cash, one fewer fight comes from state, not from bubbles. Keep the group. Stop using it as the work entry
Banning WeChat is not realistic. A driver reporting location, a customer changing the unload point — the group is still fast. What must change: official qty, price, bin, and whether to release must follow the order in the system. If the group says “ship first, backfill later,” it must become a document the same day or the warehouse may refuse to load. Once notice and the work entry are split, the group becomes a reminder, not the risk source. WeChat is for chasing, not for being the order store. The right use is: the document is created in the system; the group only drops the order number and the exception.
